Summary
Join our team as an eDiscovery Program Manager and play a key role in supporting various aspects of our company's portfolio. You will provide contractor staff management support, oversee administrative logistics, ensure daily time entry, coordinate administrative activities for new staff, mentor team members, address performance issues, manage client expectations, and initiate process improvements. You will also provide technical and eDiscovery expertise, participate in meetings, manage the Legal Clerical mailbox, develop project schedules, assist with client information requests, oversee system maintenance, review system logs, report technical assessments, and oversee various systems and platforms. The role requires managing and monitoring IT infrastructure, cloud technologies, and network architecture, ensuring operational coverage, formulating work standards, and communicating findings to non-technical audiences. You will also be responsible for cost and staffing estimates, project planning, schedule adherence, employee performance monitoring, training program development, and problem resolution. This is a full-time, executive-level position within the Legal department.
Responsibilities
- Provide Discovery Program contractor staff management support
- Oversee all administrative logistical support for the contract
- Insure that daily time entry is recorded by all contract staff
- Coordinate all administrative activities associated with the arrival of new contract staff
- Mentor and assist new team members to perform daily tasks
- Promptly and thoroughly address any performance or personnel issues that arise within the contracted staff
- Manage client expectations and deliverables and clearly and timely communicate with clients
- Initiate process improvement initiatives
- Facilitate communication, planning, recommendations, and resource management across internal and external stakeholders
- Provide technical and eDiscovery subject matter expertise to support the full life cycle management of the resources assigned to the program and contract
- Participate in teleconferences or meetings to review, educate, and support program objectives
- Assist in managing the Legal Clerical mailbox and tasks
- Develop and track clerical and IT project schedules, milestones, and deliverables
- Assist with providing information sought by client that are relevant to support Change Requests and Contract Modifications
- Oversee and monitor all scheduled system maintenances in accordance with established policies and procedures
- Review system and application logs and related reports to verify completion of scheduled jobs such as backups
- Review and report technical assessments to include required tasks, estimated time frames, and effort for any scope project
- Oversee and monitor Veritas eDiscovery version 10 or industry recognized review platform processes
- Oversee and monitor the system administration of Microsoft Exchange - 2019 and 2022
- Oversee and monitor the administration and support of Microsoft Windows server 2016/2019/2022 in a large physical and virtual infrastructure
- Oversee and monitor the performance of DNS, WINS, DHCP, and LDAP compliant directories
- Oversee and monitor Discovery’s IT infrastructure, cloud technologies (Microsoft Azure/Amazon AWS) and network architecture
- Comply with contract terms and conditions; work collaboratively with the COR to define and execute all reports and other deliverables
- Ensure operational coverage for all critical areas to meet 24 hours, 7 days a week, 365-day requirements and priorities as identified by OGC Leadership
- Formulate and enforce work standards; assign contractor schedules
- Present and communicate instructions, and in writing reports or documents that convey the findings/results of analysis to non-technical audiences
- Work collaboratively with the COR and OGC Government Leads to define and execute all reports and other deliverables
- Provide the Task Lead(s) and COR with cost and staffing estimates relative to the completion of existing tasks, as well as the possible addition of future
- Plan, organize, direct and support all activities identified in the contract
- Ensure conformance with RFQ schedules and costs
- Monitor employee performance and productivity
- Develop and implement training programs and remedial actions as necessary
- Review work discrepancies
- Prepare, review and submit required reports and communicating policies, purpose and goals of the organization to subordinates
- Be responsible for the overall RFQ performance and quality assurance
- Provide timekeeping and invoicing for labor hours, travel and ODCs, if any
- Ensure that program/project schedule, performance and deliverables are met
- Maintain a qualified and certified, as appropriate, Contractor work force to meet the Government’s needs under this RFQ
- Provide direct supervision, program control, scheduling and management of the Contractor personnel consistent with priorities and assignments by the OGC program
- Assist in all project management task performance
- Resolve problems, issues or conflicts, as required
- Prioritize tasks and assignments to Contractor work force based on Government’s direction and best practices
