Requirements
- Minimum of 5 years of experience as an Executive Assistant, preferably supporting multiple senior executives in a fast-paced environment
- A Bachelor's degree in Business Administration, Communications, or a related field is helpful
- Strong interpersonal and time management skills, with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and software tools
- Ability to work independently and as part of a team, with an adaptable approach
- High level of integrity and discretion
- Experience handling critical information while maintaining the highest level of confidentiality
Responsibilities
- Proficiently supervise the detailed calendars of several executives, including coordinating meetings, prioritizing tasks, and optimizing time management
- Prioritize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items
- Prepare materials and presentations for board meetings. Coordinate board meeting logistics and ensure all vital documentation is distributed to participants
- Arrange and lead domestic and international travel itineraries, including booking flights, accommodations, and transportation
- Assist with small projects and initiatives, providing research, data analysis, and administrative support as needed
- Prepare and submit expense reports for the executive team, ensuring accuracy and adherence to company policies
