Requirements

  • Preferably a bachelor's degree in human resources, or equivalent
  • Work experience as an Executive Assistant, Personal Assistant, Recruiter, or similar role
  • Excellent written and verbal communication skills, and a friendly and professional demeanor
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Microsoft Office skills with an ability to become familiar with firm-specific programs and software

Responsibilities

  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Manage professional scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics
  • Support the CEO primarily and provide additional support to the team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Work closely with managers to gain a comprehensive understanding of the company’s hiring needs for every role, and to meet competitive hiring goals and expectations
  • Remain active with job boards, social networks, and platforms for finding quality candidates, and create and post job descriptions and announcements, as required, to appropriate job boards/newspapers/colleges, etc
  • Manage the full recruiting lifecycle across a variety of open roles - find, hire, and retain quality candidates
  • Reviewing resumes and screening candidates
  • Scheduling interviews by coordinating with candidates and hiring managers
  • Conduct interviews using reliable selection tools/methods to filter the correct candidates
  • Act as a point of contact and build influential candidate relationships during the selection process
  • Onboard new employees & provide weekly recruitment reports to team managers
  • Plan and orchestrate work to ensure that priorities are met, organizational goals are achieved, and best practices are followed
  • Manage information flow in a timely and accurate manner

Preferred Qualifications

  • Flexible team player, and willing to adapt to changes
  • Hands-on experience with various selection processes ( video interviewing , phone interviewing , reference check, etc)
  • Familiarity with HR databases, Applicant Tracking Systems (ATS), and Candidate Management Systems (CMS)
  • Ability to assess and evaluate candidate qualifications
  • Ability to build and maintain relationships with hiring managers
  • Strong decision-making skills
