Join Arine's Clinical Care team in San Francisco as a Fax Coordinator! You will play a vital role in optimizing patient outcomes by efficiently managing incoming and outgoing faxes, ensuring accurate document processing and communication. Working under the supervision of Pharmacist Team Leads and the Head of Operations, you will receive, organize, and distribute faxes, maintain records, and troubleshoot SRfax issues. This role also includes administrative tasks like scheduling, communication with other departments, and maintaining HIPAA compliance. You will collaborate with the Clinical team to improve operational processes and contribute to campaign efficiency. Requirements
- Associates Degree or equivalent professional experience
- Experience with other electronic medical records
- Administrative experience
- Strong time-management skills and multitasking ability
- Aptitude for learning new software and system
- Ability to prioritize effectively and work in a fast-paced environment
- Knowledge of basic medical terminology and medication names (brand and generic)
- Excellent written and oral communication skills
- Strong computer skills, including proficiency in the Microsoft 365 and Google Workspace
- A team player mindset with the ability to work independently
- Ability to work 40 hours/week (Monday-Saturday up to 7PM Pacific Time)
- Ability to pass a background check
- Must live in and be eligible to work in the United States
Responsibilities
- Receiving, sorting, and uploading incoming faxes, categorized by project and sender
- Communicating with internal teams to clarify information and resolve issues in the fax queue, processing queue, and documenting uploads in Arine software
- Ensuring all faxed information is handled in accordance with privacy regulations (e.g., HIPAA ) and internal security protocols
- Obtaining provider contact information to facilitate the delivery of clinical interventions and communications
- Providing general administrative support as needed, which may include: clinical care meeting agendas, scheduling of team meetings, and note taking, organizing electronic files, and other clerical duties as assigned
- Accurate record keeping in Arine's software platform associated with incoming communication in SRfax software
- Participating in process improvement meetings and team meetings to optimize workflows
- Following up with hospitals, clinics, pharmacies, and provider groups to resolve clerical issues and concerns (updating and collection of contact information and new fax lines for clients and stakeholders)
- Undertaking other assigned projects
Preferred Qualifications
- Data entry experience
- Experience in an ambulatory care setting, including taking medication histories
- Experience working in a busy healthcare environment
- Bilingual fluency in both English and Spanish
