Requirements
- Prior experience in healthcare, mental health, or telehealth operations—especially in clinician onboarding or support
- Familiarity with behavioral health documentation, clinical workflows, or telehealth practices
- A high sense of ownership and commitment to supporting new clinicians in a warm, professional, and responsive manner
- Excellent written and verbal communication skills; ability to build rapport and convey clear information
- Meticulous attention to detail, especially when reviewing documents or reconciling data
- Proficiency with tools such as Google Workspace, EHR systems, scheduling platforms, and project management tools
- Ability to work independently, adapt quickly, and manage time effectively in a fast-paced virtual environment
- A reliable internet connection and a quiet, professional home workspace
Responsibilities
- Serve as the primary point of contact during the onboarding process, setting clear expectations and communicating Hazel’s clinical standards
- Guide new therapists through asynchronous onboarding and training with support from the Clinical Training Specialist
- Address frequently asked questions related to documentation, CPT codes, clinical workflows, and technology use; escalate complex clinical questions as needed
- Partner with Clinical Operations and Credentialing teams to ensure providers are clinically and operationally ready to begin care
- Manage and update therapist schedules in the scheduling platform, ensuring alignment with school-year calendars and program needs
- Coordinate with therapists and program managers to maintain accurate, optimized schedules that reflect contract terms
- Identify and flag scheduling gaps, inconsistencies, or conflicts to the appropriate internal teams
- Review therapist-submitted invoices for accuracy, focusing on alignment between session data, documentation completion, and scheduling records
- Cross-check invoices with internal platforms and escalate discrepancies to Finance or Clinical Operations as needed
- Maintain timely, professional communication with therapists to resolve invoice-related questions or issues
