Summary

Join the Future of Life Foundation (FLF) and Future of Life Action and Research, Inc. (FLARE) as their detail-oriented Operations Manager! This role is split between establishing and managing operations at the new 501(c)(4) organization FLARE (50% of time) and providing operational support for FLF (50% of time). For FLARE, you will set up legal structures, financial systems, and ensure compliance. For FLF, you will be the primary person handling operational requirements, ensuring compliance, and implementing improvements. The ideal candidate enjoys creating order from complexity, has a keen interest in nonprofit compliance, and wants to contribute to meaningful work. This position offers a competitive salary and full benefits. The location preference is for candidates with 4+ overlapping work hours with US Central Time.

Requirements

  • Strong attention to detail and organizational skills
  • Ability to learn and understand regulatory requirements
  • Good judgment about appropriate activities for different tax-exempt structures
  • Comfort with digital tools (in this role you’ll use Notion, n8n, and Mattermost & others)
  • Self-directed work style with the ability to identify and solve problems with which you may not have experience
  • Excellent communication skills
  • 3+ years experience and an undergraduate degree

Responsibilities

  • Continuing set-up of the legal structure with appropriate counsel
  • Establishing financial systems (bank accounts, accounting practices) with external providers
  • Onboarding to and ensuring compliance with all regulations governing 501(c)(4) organizations
  • Making informed judgments about when activities should be conducted through the 501(c)(4) vs. 501(c)(3) organizations
  • Managing day-to-day operations and administrative tasks
  • Being the primary person powering FLF’s operational requirements (allowing FLF’s COO to shift focus more toward team & project management + strategy)
  • Ensuring ongoing compliance requirements are met at a high level
  • Receiving requests for operational improvements and making them happen
  • Reorganizing and optimizing our Notion workspace
  • Implementing workflow automation & integration of AI tools
  • Organizing and documenting strategic planning materials
  • Supporting our Entrepreneur in Residence program, including immigration logistics
  • Translating retreat outcomes and planning documents into actionable systems
  • Resolving pending operational issues in our Mattermost channels
  • Processing incoming invoices
