Summary

LifeLabs Learning is seeking a part-time Product Operations Implementation Coordinator to support the Consulting (Sales) and Facilitation teams, ensuring timely and accurate program setup. The role involves coordinating client onboarding logistics, internal support, systems management, special projects, and additional responsibilities such as rescue crew and PTO swaps coverage, travel coordination, and creating knowledge base articles.

  • Required availability : Monday - Thursday (11:30am - 6:00pm Pacific Time), Friday (10:00am - 3:00pm Pacific Time)

Responsibilities

  • Provide support to the Consulting (Sales) and Facilitation teams, ensuring timely and accurate program setup
  • Coordinate all scheduling, logistical onboarding, invoicing and travel logistics for client programs
  • Maintain expertise over our product offerings, supporting technologies, and their functionality
  • Coordinate and support logistical: customization requests (i.e. interpreters for workshops, format swap, etc.)
  • Respond to all client and Labmate communications with clarity, accuracy, simplicity and warmth in line with our SLAs
  • Review, route, and respond to onboarding and logistical submissions to our product ticketing system
  • Support the Client Success and Support and Consulting (Sales) teams in answering client questions and loop in the appropriate collaborators when needed
  • Communicate client policies accurately (no need to memorize them, but you should be able to retrieve the information when needed)
  • Assist in the creation and iteration of in-person & hybrid workshop logistics & materials
  • Testing Hubspot, Google Drive, ClickUp, and other product systems for reported product issues and escalating issues to proper Product team members for resolution
  • Keep up-to-date and accurate information in our client data systems in line with LifeLabs’ record keeping policies
  • Maintain systems for tracking product issues, debriefs, ideas, and client feedback
  • Assist Client-facing teams and Clients with product setup as requested
  • Research and advise on software selection
  • Assist with data security (e.g., passwords management, Google Drive permissions)
  • Support automation projects as needed
  • Maintain the organization of folders and documents within Google Drive
  • Assist with a variety of special projects in collaboration with our Implementation Specialist, Director of Product Operations, Director of CSS, and others in support of the needs of the org
  • Spot inefficiencies and look for opportunities to streamline, improve, and scale our processes
  • Write a clear definition of ‘done’ and success metrics for every project
  • Involve Labmates who may be impacted by your project
  • Always Be Learning: seek feedback from your collaborators and project sponsors
  • Rescue Crew and PTO Swaps Coverage
  • Secure live learning experience coverage, as needed, within business hours
  • Reach out to facilitators when needed for availability for emergency coverage, off-hours workshops, off-off hours workshops, or in-person workshops
  • Coordinate and complete all facilitator PTO swap requests
  • Assist in at-scale facilitator swaps (i.e. for leaves, role departures, role changes, utilization issues, etc)
  • Collaborate with the Implementation Specialist and Product Operations Specialist to ensure our coverage policies are streamlined, efficient and effective
  • Maintain expertise over our product offerings, supporting technologies, and their functionality
  • Handle and/or coordinate OOO coverage of all required responsibilities for the Client Support Administrator and Learning Operations Coordinator roles
  • Travel Coordination: Book travel and manage travel arrangements for client programs as needed
  • Create internal knowledge base articles related to client onboarding
