Requirements

  • Proven couple of years of experience in an administrative role, and at least 2 years preferably in a healthcare setting
  • Strong organizational skills with the ability to manage multiple schedules and appointments simultaneously
  • Excellent communication skills (both verbal and written), with a customer-service-oriented approach
  • Attention to detail and ability to follow through with tasks independently. Managing patient registration details with accuracy
  • Ability to work in a fast-paced environment and handle last-minute changes or cancellations
  • Problem-solving skills with a proactive approach to managing scheduling conflicts
  • High level of professionalism and discretion in dealing with sensitive patient information

Responsibilities

  • Coordinate and schedule appointments between patients and psychologists based on availability, ensuring that all slots are efficiently utilized
  • Manage appointment rescheduling and cancellations, ensuring that both patients and psychologists are promptly informed
  • Serve as the primary point of contact for patients regarding appointment-related inquiries, confirmations, and reminders
  • Monitor referrals, and report distribution
  • Work closely with psychologists to manage their calendars, ensuring that their availability is up-to-date, and all appointments are properly scheduled
  • Maintain accurate records of all scheduled appointments in the system and assist with any administrative tasks related to patient scheduling
  • Conduct follow-up calls or send reminders to patients to confirm appointments and address any scheduling conflicts
  • Address any scheduling issues or conflicts and resolve them in a timely and professional manner
  • Keep the scheduling system/database updated, ensuring accuracy and efficiency in booking appointments. Improve and enhance admin processes
  • Provide regular updates and reports on appointment statistics, cancellations, and rescheduling trends
