Summary

Join Celerion as a Veeva Vault Training and QualityDocs Administrator, where you will maintain and support the health of these critical systems. You will develop and deploy solutions to streamline training, manage permissions, and ensure compliance. Responsibilities include providing technical support, developing training materials, and optimizing system usage. You will collaborate with internal teams and stakeholders to meet business objectives and enhance user satisfaction. The role requires experience with Vault Quality solutions and process/training development, along with strong organizational and problem-solving skills. A Bachelor's degree is preferred.

Requirements

  • Associate’s degree in a related field
  • Min. 1 year of experience with Vault Quality solutions
  • Min. 3 years of experience with process and/or training development
  • Ability to multi-task, document processes, and manage on-going multiple projects
  • Highly organized, ability to problem solve, and learns quickly
  • Ability to create and deliver training
  • Ability to work effectively across all levels of the organization

Responsibilities

  • Monitor system performance and usage, ensuring the platform is running efficiently and addressing any issues promptly
  • Oversee and manage Training Matrix
  • Develop, set up, and revise data access controls and permission levels to ensure data security and integrity
  • Build and manage user accounts for those without login accounts
  • Create reports and dashboards for management to assist in monitoring access and use
  • Ensure compliance with organizational policies and best practices for training and document control records management
  • Support audits/inspections by developing/providing reports and records
  • Coordinate periodic reviews of curricula and learner roles
  • Complete archive preparation activities for training records in alignment with regulatory requirements
  • Manage (create, revise) picklists, templates, and objects
  • Build and maintain Vault Training knowledge checks and evaluations
  • Act as a point of contact for Vault Training and QualityDocs related queries and issues within the organization
  • Provide technical support to end-users, triaging and troubleshooting issues related to Vault Training and QualityDocs for timely resolution
  • Collaborate with Veeva support and technical teams as needed for complex issues
  • Host office hours to trouble shoot routine questions by users
  • Develop and facilitate continuing education for Training Administrators
  • Develop and deliver training sessions, tools, and supporting documentation to help users effectively utilize Vault Training and QualityDocs features and best practices
  • Identify opportunities for optimizing Vault Training and QualityDocs usage and performance
  • Work with internal teams to improve training content and processes
  • Track usage of system features to provide reports for use in executing plans to address issues and trends
  • Work closely with stakeholders and internal teams to understand their needs, goals, and requirements for using Vault Training
  • Support the development of implementation plans outlining the steps, timelines, and resources required to deploy training solutions successfully
  • Collaborate with internal teams and stakeholders to ensure alignment and buy-in throughout the implementation process
  • Assist with migrating data and/or processes from legacy systems or into Vault Training
  • Ensure data integrity and accuracy throughout the migration process and provide support for mapping data fields and resolving any issues that arise
  • Stay informed about Vault Training and QualityDocs updates, new features, and best practices
  • Continuously evaluate and optimize Vault Training and QualityDocs solutions to enhance productivity, efficiency, and user satisfaction within the organization
  • Recommend and promote improvements
  • Advance the digitization initiative for training materials and documentation
  • Perform thorough testing of Vault Training and QualityDocs solutions to ensure they meet quality standards and fulfill the organization's requirements
  • Identify and resolve any issues or bugs and iterate on the solution as needed to improve performance and usability
  • Create documentation, user guides, and training materials to support the adoption of Vault Training and QualityDocs within the organization
  • Document best practices, tips, and tricks for using Vault Training and QualityDocs effectively, and maintain up-to-date documentation as the solutions evolve
  • Conduct training sessions and workshops to educate users on how to effectively use Vault Training and QualityDocs
  • Provide hands-on guidance and support to help users become proficient with Vault Training and QualityDocs features and best practices

Preferred Qualifications

  • Bachelor’s degree
  • Veeva certifications preferred, including Vault Training Administrator, and Veeva Associate/Certified Administrator credentials
  • Life sciences experience
