Summary
Join Great Minds as an Associate Services Planner and support the preparation and close-out activities for professional learning services. Partner with the Lead Services Planner to schedule, staff, and complete professional learning services, ensuring timely completion and high-quality records. Maintain accurate records in the scheduling tool, communicate with customers, arrange session logistics, and understand documentation requirements. Confirm session completion, trigger close-out activities, and conduct pre-invoicing processes. This role requires strong attention to detail, process orientation, and excellent communication skills. The position is primarily internal-facing with some customer interaction and is a full-time remote role.
Requirements
- Bachelor’s degree or equivalent experience
- At least 1 year of experience in planning and coordinating professional learning or other services
- Highly detailed and process oriented and capable of managing many concurring items and quality and timely completion
- Commitment to meeting service level expectations
- Proactive communicator that looks ahead and identifies issues and risks to meeting customer needs and takes action to resolve
- Very strong customer-centric orientation with skills to effectively communicate and partner with other internal teams
- Team player with a commitment to excellence and a high level of integrity
- Bachelor’s degree or equivalent experience
Responsibilities
- Act as partner to Lead Services Planner in support of the end-to-end process of scheduling, staffing, and completing professional learning services in assigned territories
- Track upcoming engagements and enter approved staffing plans into the scheduling tool and confirm assignments with coaches
- Maintain accurate and quality of records in the scheduling tool
- Lead preparation activities for service sessions, including communicating with customers to confirm service session details and logistics
- Arrange other session logistics, such as facilitation materials, and coordinate internally as needed
- Understand documentation requirements for each customer and develop proper and timely documentation
- Confirm completion of each session and trigger other close-out activities (e.g., Coaching Debrief)
- Conduct pre-invoicing process steps to trigger process for Accounting and coordinate with Accounting and Sales to resolve issues and follow through to resolution
- Ensure timely completion of preparation and close-out activities in accordance with service level agreements
Preferred Qualifications
- Passion for and commitment to the importance of high-quality, knowledge-rich curriculum and improving K-12 education in the US
- Familiarity with professional learning in the classroom with prior experience as teacher or services implementation coach / facilitator
