Requirements

  • Experience in mental health care or related fields
  • Bilingual in Spanish and English (written and verbal)
  • Excellent verbal and written communication with a professional demeanor
  • 3-5 years in administrative or billing roles, ideally in healthcare or therapy settings
  • Strong organizational, multitasking, and attention-to-detail skills
  • Proficient in billing tools like QuickBooks or Microsoft Excel
  • Ability to handle sensitive information with discretion and confidentiality
  • Proactive, problem-solving mindset, able to work independently and in a team

Responsibilities

  • Manage executive calendars, schedule appointments, and coordinate meetings for leadership
  • Prepare agendas, take detailed minutes, and ensure follow-ups on action items from meetings
  • Monitor executive email inboxes, prioritize communications, and respond when necessary
  • Handle health insurance billing, including claims management and resolving denied claims
  • Oversee client billing processes, ensure timely invoicing, and follow up on outstanding payments
  • Reconcile accounts and prepare financial reports, including monthly and quarterly summaries
  • Serve as the main administrative contact, streamlining workflows and improving efficiency
  • Maintain client records while ensuring HIPAA compliance and confidentiality
  • Respond to client inquiries, mediate with therapists and insurance providers, and translate documents into Spanish when needed

Preferred Qualifications

Knowledge of insurance billing and HIPAA compliance
