Join Pearl Talent as a fully remote Executive Assistant/Billing Specialist, working 40 hours per week with flexible hours. You will provide administrative support to the leadership team and manage billing and financial processes for a mental health company. Requirements
- Experience in mental health care or related fields
- Bilingual in Spanish and English (written and verbal)
- Excellent verbal and written communication with a professional demeanor
- 3-5 years in administrative or billing roles, ideally in healthcare or therapy settings
- Strong organizational, multitasking, and attention-to-detail skills
- Proficient in billing tools like QuickBooks or Microsoft Excel
- Ability to handle sensitive information with discretion and confidentiality
- Proactive, problem-solving mindset, able to work independently and in a team
Responsibilities
- Manage executive calendars, schedule appointments, and coordinate meetings for leadership
- Prepare agendas, take detailed minutes, and ensure follow-ups on action items from meetings
- Monitor executive email inboxes, prioritize communications, and respond when necessary
- Handle health insurance billing, including claims management and resolving denied claims
- Oversee client billing processes, ensure timely invoicing, and follow up on outstanding payments
- Reconcile accounts and prepare financial reports, including monthly and quarterly summaries
- Serve as the main administrative contact, streamlining workflows and improving efficiency
- Maintain client records while ensuring HIPAA compliance and confidentiality
- Respond to client inquiries, mediate with therapists and insurance providers, and translate documents into Spanish when needed
