Requirements

  • Knowledgeable/experienced in ActiveCampaign (or any similar email marketing software)
  • Knowledgeable/experience in creating automations
  • Knowledgeable/experience in BreezyHR or any similar applicant tracking system
  • Basic HTML knowledge (for email design)
  • Excellent Microsoft Excel/Google Spreadsheet skills (experienced in using advanced formulas)
  • Knowledge with CRM tools

Responsibilities

  • Contact Database Management: Keep contact database accurate and clean. Monitor contacts and unsubscribe when necessary
  • Ensure that tags are correct and that contact fields are updated
  • Create custom fields as requested by Operations staff and update the Tags and Fields tracker as necessary
  • Import and export data from other database / files
  • Compare and manipulate data for analysis purposes
  • Update of records - including merging of duplicate contacts
  • Reporting analysis: Create contact segments for Digital Team email campaigns
  • Support and Troubleshooting: Serve as IT support for our CRM applications. Monitor ActiveCampaign, Breezy, ClickUp and Skype groups for any issues/questions from Ops staff
  • Debug/troubleshoot any automation or software issues that the Operations team is experiencing and implement solutions
  • Update Operations staff regarding any changes made to automations, tags, fields, and other processes within any of the CRM applications
  • CRM and Workflow Development: Take charge of improving ActiveCampaign, Breezy and all other 20four7VA automations (from various applications) and processes for Operations, Business Development, Sales and Digital Marketing
  • Follow official ActiveCampaign boards, forums, chatrooms, and emails for new features that can be used to improve Operations workflows in ActiveCampaign
  • Ensure up to date knowledge of all software/applications that the company uses
  • Implement workflow improvements as new features and requirements roll in
  • Create new automations
  • Create or edit pipelines
  • Ensuring all automations are cohesive, with no redundancy or loops across other automations
  • Collaborate with stakeholders for any CRM issues, solutions, and updates
  • Provide guidance to the CRM business owners for data clean-up activities
  • Work with users to provide training, troubleshooting, root cause analysis, and resolution of issues concerning data
  • Create process flows for end-user training purposes
  • Send out or schedule email campaigns
  • Generate email campaign reports
  • Create/design email marketing automations
