Requirements
- Light bookkeeping skills (e.g., invoice reconciliation, using Xero) are required, but training will be provided if needed
- Proficiency in document formatting, scheduling, and supporting sales/admin teams is important
- Strong communication, initiative, and ownership of tasks are essential
- Openness to using AI tools and adapting to new technologies is a non-negotiable requirement
Responsibilities
- Maintain accounts payable and receivable, general ledger and bank reconciliations
- Prepare and issue invoices and credit notes; follow up overdue payments
- Generate customer quotes and update quote register
- Assist external accountant with BAS, payroll and year end processes
- Ensure compliance with ATO and BDS financial policies
- Managing incoming/ outgoing correspondence, filing document control
- Order office supplies and coordinate equipment/ service bookings
- Maintain company registers, templates, and standard operating procedures
- Provide general clerical support to project and consulting teams
- Coordinate the Director's calendars, schedule meetings, and set appointments
- Prepare briefing packs, agendas and minutes as required
- Book travel and accommodation within company policy
- Send personalized LinkedIn connection requests on behalf of Directors
- Monitor and respond to basic LinkedIn messages, escalating when needed
- Enter and update contact data in the CRM (Salesfoce)
- Draft and format email campaigns/ newsletters in line with brand guidelines
- Liaise with Directors for review and approval before distribution
- Track open and engagement metrics in the email platform
Preferred Qualifications
- Experience in administrative support, executive assistance, and general office duties is preferred
- Familiarity with Salesforce or similar project management tools is a plus, but not mandatory
- Willingness to learn, take initiative, and communicate effectively with the team are key motivators for success in this role
