Requirements

  • 2+ years of proven experience as an Executive Assistant, ideally supporting C-suite executives
  • Fluency in English and at least one additional language (French, Italian, or Spanish preferred)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools
  • Exceptional organizational skills, attention to detail, and superior written and verbal communication
  • Demonstrated ability to plan, coordinate, and manage events or projects effectively
  • Willingness to travel occasionally, as required
  • Ability to manage multiple tasks independently, maintain confidentiality, and adapt to dynamic needs

Responsibilities

  • Manage complex calendars and schedules, ensuring seamless coordination of meetings, appointments, and travel arrangements
  • Screen, organize, and prioritize the executive’s email inbox, flagging critical communications and ensuring timely follow-up
  • Act as a trusted gatekeeper for all incoming inquiries, facilitating clear, professional, and efficient communication
  • Handle approval requests, document management, and coordination of physical shipments
  • Prepare and process expense reports promptly, maintaining meticulous attention to detail
  • Provide personal assistance as needed, including handling sensitive personal tasks to alleviate the executive’s workload
  • Plan, coordinate, and execute small-scale projects and events, ensuring all logistical and operational elements are handled effectively
  • Track project milestones and deadlines, providing regular updates to the executive
  • Evaluate incoming requests and determine priority levels based on strategic importance
  • Proactively identify opportunities to enhance productivity and streamline daily operations
  • Provide light administrative support to other executives when appropriate, while ensuring the CEO’s priorities remain central
  • Adapt to shifting priorities and manage competing demands with professionalism and discretion
  • Build a strong, trusted relationship with the CEO to take on more responsibilities over time
  • Maintain the utmost discretion in handling confidential and sensitive information

Preferred Qualifications

Familiarity with expense reporting systems and document management tools
