The ideal candidate will have 5+ years of experience as an Executive Assistant, preferably in a fast-paced startup, and possess exceptional organizational skills, strong problem-solving abilities, and excellent communication skills. Requirements
- Experience: Minimum of 5+ years of experience in an Executive Assistant or similar role, preferably in a fast-paced startup environment or supporting senior executives
- Exceptional organisational skills , with the ability to manage multiple priorities simultaneously
- Strong problem-solving abilities, attention to detail, and a proactive approach to managing tasks
- Excellent written and verbal communication skills, with the ability to build relationships and communicate effectively with a wide range of stakeholders
- High level of autonomy and flexibility, with the ability to adapt in a dynamic, fast-changing environment
Responsibilities
- Schedule Management and Coordination: Proactively manage the CEO's complex schedule with an understanding of key business priorities. Coordinate and prioritise meetings, travel, and events, anticipating changes and resolving conflicts to ensure seamless operations. You also may be required to support other Execs on the team with diary management and travel arrangements
- Project Assistance and Task Coordination: Assist in projects on a rolling basis, gathering necessary information, preparing materials, and ensuring that the CEO is well-equipped to make timely, impactful decisions. Owning the company newsletter - coordinating contributors / developing new sections
- Meeting Preparation and Follow-up: Organise and prepare for meetings by gathering relevant information, preparing briefing documents, and ensuring all necessary stakeholders are prepared
- Travel and Environment Management: Oversee all aspects of the CEO's travel arrangements, optimising travel schedules, accommodation, and logistics to create a productive environment, even while on the move. Address unforeseen issues promptly and ensure the CEO's time is maximised effectively
- Communication and Liaison: Act as a key point of contact for the CEO, managing communications and ensuring timely responses. Facilitate effective communication across various departments and with external partners, ensuring smooth coordination and follow-up on important matters
- Process Improvement: Continuously identify opportunities for process and workflow improvements, implementing changes that enhance the CEO’s efficiency and reduce administrative burdens
- Personal assistance : Support the CEO in various matters, including bill management, appointment bookings
- Professionalism and Discretion: Maintain a high level of professionalism and discretion, handling sensitive and confidential information appropriately. Uphold Cleo’s values and represent the CEO and the company with the highest standard of conduct

- Experience in project management or process improvement, experience in a startup environment, and prior experience supporting executives
