Join Nuvalent as an Executive Assistant and Clinical Development Coordinator, reporting to the Chief Medical Officer. You will provide comprehensive support to executive leadership, clinical development teams, and regulatory functions, playing a crucial role in the company's success. You will handle confidential information, coordinate travel and events, and assist with departmental communications and budget planning. Experience supporting executive management in biotech, particularly within clinical or R&D teams, is highly valued. The ideal candidate is a highly professional, self-motivated individual with exceptional judgment and problem-solving skills.
Requirements
- 7+ years of executive administrative experience supporting Executive Management and other top-level management in biotech; experience supporting clinical/ R&D teams preferred
- Strong organizational skills, ability to manage multiple tasks efficiently and prioritize effectively
- Time management skills, proactive approach to managing schedules and deadlines
- Attention to detail, ensuring accuracy in all tasks. High-level computer skills, in particular with the MS Office suite (Word, PowerPoint, Excel, experience working with DocuSign, Veeva, and file sharing products like SharePoint, Egnyte, etc
- Ability to work independently and to be resourceful with minimal supervision
- Willingness and ability to work on site, as needed
- Flexible team player, willing to adapt to changes and unafraid of challenges
Responsibilities
- Actively manage multiple executives’ calendars, proactively prioritizing meetings and resolving conflicts in a timely manner
- Schedule internal and external meetings with key stakeholders and coordinate events end to end
- Coordinate domestic and international travel in alignment with our T&E policy as well as support monthly reconciliation of business expenses and submission of expense reports
- Manage conference and event coordination including registrations, meeting planning, and information tracking
- Assist with managing Departmental and Company-wide communications, data and information across multiple platforms (email, video, Egnyte, Teams, etc.) and ability to prepare PowerPoint slides and templates, as needed
- Handle confidential and sensitive information and communication with all levels of management in a professional and discrete manner
- Assist with tracking, reporting and planning Departmental budgets and headcount planning
- Provide office management support, including welcoming visitors and setting up conference rooms and assist with other administrative activities, as needed
- Support clinical team requests such as: Assisting with abstract submissions
- Support clinical team requests such as: Non-scientific document QC
- Support clinical team requests such as: Routing documents for signature
- Support clinical team requests such as: Maintenance of clinical study contact list
- Support clinical team requests such as: Develop global clinical site maps
- Support clinical team requests such as: Manage PO/contract management process
- Support clinical team requests such as: Track clinical system access controls
- Serve as an integral member of the Nuvalent administrative team, ensuring that Nuvalent’s administrative needs are met and may be called upon to provide cross-coverage and back-up support including event planning and ad hoc requests/projects
