Requirements

  • Bachelor's degree or equivalent experience preferred
  • 7+ years general business experience
  • 5+ years proven experience as an executive assistant or similar role, preferably in a fast paced start up or tech environment
  • Highly dependable and operates with strong professional integrity and judgement
  • Positive attitude, proactive mindset, and willingness to learn and grow in a dynamic startup environment
  • Proficiency in technology, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with strong Excel and data/reporting experience, Zoom, Slack and other administrative tools as needed
  • Superb interpersonal communication and presentation skills, both written and verbal, can interact effectively and efficiently with individuals at all levels using courtesy and discretion
  • Independent self-starter who takes initiative with a robust set of problem-solving skills, deeply organized with accuracy and unfailing attention to detail. Can work independently
  • Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines
  • Flexibility and adaptability to handle changing priorities and multiple tasks simultaneously
  • Discretion and confidentiality in handling sensitive information
  • Must be able to meet deadlines in a fast-paced, quickly changing environment

Responsibilities

  • Manage and maintain the CCO’s schedule and calendar, including scheduling meetings, appointments, and travel arrangements to optimize time and priorities
  • Serve as a liaison between the CCO, staff, vendors and the public. This includes receiving and screening internal/external meeting requests, screening and prioritizing emails and phone calls, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution on behalf of the CCO
  • Schedule meetings as needed, and prepare materials for meetings, including agendas, presentations, and reports
  • Attend meetings as needed, take minutes, and follow up on action items
  • Coordinate travel arrangements for the CCO as necessary, including booking flights, accommodations, and transportation, and preparing travel itineraries
  • Create, organize, and maintain digital and physical files, documents, and records including spreadsheets, special reports, and agenda materials ensuring easy accessibility and confidentiality as needed
  • Partner with internal teams in planning and coordinating events, conferences, department summits, and off-site meetings, including logistics, venue selection, and catering
  • Maintain vendor relationships and deliverables
  • Process expense reports, reconcile credit card statements, and maintain expense records for the CCO
  • Conduct research and gather information on various topics as requested by CCO including market trends and industry developments
  • Assist the CCO and leadership team in special projects, initiatives, and ad-hoc tasks as needed
  • Handle sensitive and confidential information with discretion and professionalism

Preferred Qualifications

  • Event planning experience is highly desired
  • Identify roadblocks and solve them through invention, innovation, and empathy
  • Ability to plan and organize with and through people
  • Possesses self-confidence, leadership skills, and negotiation skills
  • Demonstrates strong decision-making skills and the ability to work well under pressure
