Requirements

  • Minimum of 5 years of experience as an executive assistant, operations coordinator, or similar role
  • Ability to prioritize and manage multiple tasks with attention to detail and efficiency
  • Ability to anticipate needs, resolve issues independently, and escalate concerns appropriately
  • Proficiency in Google Suite and Microsoft (Docs, Sheets, Slides, Gmail), and familiarity with project management tools and generative AI tools such as ChatGPT
  • Strong verbal and written communication skills, including the ability to produce professional reports and presentations
  • Ability to handle sensitive information with discretion and professionalism
  • Comfortable working in a dynamic, fast-paced environment with shifting priorities
  • Must reside in the United States, cannot reside in California

Responsibilities

  • Serve as a key support resource to senior executives, proactively managing daily operations and administrative tasks
  • Maintain complex executive calendars, coordinate meetings, and resolve scheduling conflicts. Coordinate and manage travel arrangements
  • Prepare agendas, gather materials, and ensure all necessary documentation is available ahead of time for internal and client meetings. Assist with taking meeting minutes and documenting/following up on action items
  • Draft, review, and organize emails, presentations, and reports on behalf of executive leadership
  • Track action items and key deliverables, ensuring timely follow-up with stakeholders
  • Support operational initiatives, monitor project progress, and help implement process improvements
  • Create high-quality presentations and reports using tools like Google Suite and ChatGPT
  • Contribute to strategic projects, including research, implementation support, and reporting
