You will manage and prioritize a portfolio of high-stakes client projects, acting as the operational center of the agency. Responsibilities include project oversight, CRM/tool development, daily reporting, client communication, team coordination, and workflow optimization. The ideal candidate is highly organized, proactive, and possesses strong communication skills. Requirements
- Must be highly organized, proactive, and capable of autonomous execution
- Strong written and verbal communication skills (English fluency)
- Comfortable working across time zones and coordinating with multiple teams
- Able to balance client communication, internal operations, and tool management
- Should be both structured and entrepreneurial
Responsibilities
- Oversee and maintain all active client projects across the agencyβs portfolio, organizing tasks, deadlines, and dependencies
- Fully own and evolve systems like Motion (or similar PM tools), working alongside the founder to build out daily workflows and manage updates
- Send daily project updates to the founder and team, recapping prior-day progress, upcoming action items, and any blockers
- Coordinate with external partners (artists, agents, sponsors, talent reps) to manage timelines and deliverables without founder bottlenecks
- Manage internal and freelance contributors, ensuring alignment on scope, deadlines, and deliverables
- Identify and implement more efficient systems (beyond Motion) to improve execution and scale
Preferred Qualifications
- Prior experience in entertainment, events, partnerships, or agency settings
- Exposure to high-profile clientele and brand activations
- Experience with project tracking tools like Motion, ClickUp, Notion, or Trello
- Comfortable using Slack, Google Workspace, Zoom, and lightweight CRM tools
- Strong cultural fluency in music, fashion, hospitality, or startup landscapes
- Process-driven mindset paired with creative adaptability
