Summary

Join a rapidly expanding AI-first marketing agency as a Project Manager, managing multiple client projects, building and optimizing Notion dashboards, and ensuring on-time and on-budget delivery. You will be responsible for client communication, stakeholder updates, and managing freelancers. The ideal candidate will have 3+ years of project management experience in a marketing agency, preferably with HubSpot familiarity, and be an advanced Notion user. Success will be measured by on-time and within-budget project delivery, high client satisfaction, and improved internal efficiency. This is a fully remote position with a 9 AM – 5 PM EST schedule.

Requirements

  • 3+ years project management experience in a marketing agency, preferably with HubSpot familiarity
  • Advanced Notion user with proven ability to build and maintain complex task and documentation systems
  • Strong organizational skills with exceptional attention to detail and a results-driven mindset
  • Effective communicator, comfortable leading client meetings and providing clear updates
  • Comfortable managing multiple client accounts and deliverables concurrently

Responsibilities

  • Manage multiple projects across content creation, campaigns, and AI agent deployments
  • Maintain clear communication with clients and internal teams to ensure alignment on priorities and progress
  • Build and optimize Notion dashboards, task boards, and documentation systems to support efficient workflows
  • Track assignments, manage deadlines, and document all processes and updates meticulously
  • Facilitate regular status updates with clients and internal stakeholders
  • Proactively identify project blockers and scope changes, proposing timely solutions
  • Oversee project scope and budgets to ensure 90%+ on-time and on-budget delivery
  • Manage freelancers and external partners as needed to fill execution gaps
  • Drive innovation in processes, especially leveraging AI tools, to enhance delivery and operational efficiency
  • Document and refine standard operating procedures and playbooks
