Join American University of the Caribbean School of Medicine as a Registrar Advisor! Responsibilities
- Perform Medical and Veterinary degree audits, which involves the review of a student’s academic records to ensure that the student has met all requirements for the degree. Communicate with student regarding the status of graduation application and degree audit and counsels them regarding any outstanding requirements or issues. Track degree audit status using RightNow CRM and update student’s record in Banner when degree is awarded. Receive, process and mail diplomas to students
- Answer phone calls and respond to and resolve RightNow incidents. Counsel students regarding University policies and procedures regarding enrollment, records and registration and provide excellent customer service
- Grade Medical Clinical evaluations as they are received from affiliate and non-affiliate hospitals and post the grades in Banner. Analyze affiliate transcripts and evaluations for Veterinary Clinical students and post courses and grades in Banner at the completion of the year-long Clinical curriculum
- Process reinstatement applications, leaves of absences, dismissals and withdrawals in Banner, which involves interpreting and applying University policies and communicating decisions to students. Update Medical Clinical students’ statuses in Banner per weekly and periodic reports and send proactive notifications to students regarding status changes
- Enter NBME Comprehensive Exam and USMLE Step scores in Banner as they are received. In the absence of the Sr. Registrar Advisor, process ECFMG Form 186 for Medical Clinical students and certify them on EMSWP
- Participate in bi-monthly enrollment reporting process. Analyze data from Banner and other sources and report current and historical enrollment information on a student-by-student basis. Requires a high degree of attention to detail and accuracy
- Process Veterinary student letters of intent and mail them to third parties per students’ requests
- Calculate and track Veterinary student grade point averages and class ranks and they move into the Clinical curriculum
- Process transcripts for Medical and Veterinary students as necessary to back-up Registrar Coordinator
- Register Veterinary Clinical students in Banner
- Complete other projects and duties as assigned by the Associate Registrar and/or University Registrar
- Complete other duties as assigned
- Perform other duties as assigned
- Comply with all policies and standards
Preferred Qualifications
- Have higher education experience, preferably in an enrollment or records setting (Registrar or Admissions)
- Possess familiarity with Registrar best practices related to degree auditing and other records and registration policies and procedures
- Have knowledge of student information systems, preferably Banner
