Summary
Join SimSpace's Finance & Accounting team as a Payroll and Accounts Payable Administrator! You will manage full-cycle payroll administration for US and global operations, ensuring timely and accurate submissions while maintaining compliance. Responsibilities also include managing accounts payable processes, vendor relations, and utilizing accounting software like NetSuite, MineralTree, and Expensify. The ideal candidate possesses at least 5 years of multi-state payroll experience, proficiency in Microsoft Excel, and strong attention to detail. Requirements
- Minimum of 5 years of multi-state payroll experience
- Candidates must be located in the Eastern or Central U.S. time zones to ensure optimal collaboration with our teams and clients
- Experience with HRIS systems, ADP experience required
- Strong knowledge of accounts payable and vendor management
- Proficiency in Microsoft Excel
- Strong attention to detail and organizational skills
- Ability to communicate effectively with both internal and external stakeholders
- Ability to work independently and manage multiple priorities
Responsibilities
- Administer full-cycle payroll processes, ensuring timely and accurate payroll submission (ADP & Vistra)
- Maintain compliance with federal, state and local payroll regulations in a multi-state environment
- Manage employee data, including new hires, terminations, and changes to compensation or benefits
- Assist the People Operations with benefits enrollment and other related activities
- Liaise with 401k administrator
- Work with external auditors on the 401k annual audit
- Assist employees with questions about their wages, taxes and/or deductions
- Process reports to analyze payroll data and record payroll related journal entries
- Monitor payroll inbox and own all communications related to payroll
- Own the accounts payable process including vendor onboarding and setup (TIN matching), purchase orders, weekly payment runs, credit card processing and expense report review
- Initiate vendor payments through MineralTree and ensure proper documentation
- Record cash payments and maintain accurate records in NetSuite
- Communicate with Purchasing and /or other departments as needed to resolve pricing discrepancies, delivery receipts or other issues preventing PO match
- Utilize NetSuite, Expensify and MineralTree to record transactions, generate reports and maintain accurate financial records
- Monitor AP email inbox and own all communications related to accounts payable
- Support and implement process improvement and automation projects
- Support special projects
- Other duties as assigned
Preferred Qualifications
- International payroll processing experience a plus
- Payroll certification (e.g., CPP or equivalent) a plus
- Experience with account software, including NetSuite, MineralTree and Expensify a plus
