Requirements

  • Previous experience as a virtual assistant or in a similar administrative role
  • Strong communication skills (written and verbal)
  • Proficient with Google Workspace, spreadsheets, and CRM tools
  • Comfortable learning new software like Yardbook, Jobber, or Mailchimp
  • Organized, self-motivated, and detail-oriented

Responsibilities

  • Log and categorize new leads (Hot/Warm/Cold) in Google Sheets or CRM
  • Schedule and execute follow-ups with leads via email and text
  • Respond to basic client inquiries and send job reminders
  • Notify clients of any schedule changes (e.g., weather delays)
  • Request and manage Google Reviews post-job completion
  • Send quotes and follow up on pending estimates
  • Maintain and update the lead tracker as needed
  • Send and track invoices after job completion
  • Follow up on unpaid invoices and maintain payment records
  • Organize and update the weekly/monthly job schedule using Yardbook or Jobber
  • Ensure optimized routing for field efficiency
  • Alert the business owner to any scheduling conflicts
  • Track lead sources and prepare monthly performance reports
  • Maintain status updates in a CRM or Google Sheets if software upgrade hasn't occurred
  • Manage basic social media presence (Facebook, Instagram, Google Business Profile)
  • Post updates, respond to comments/messages, and engage with the online community
  • Manage online reputation by requesting and responding to reviews
  • Support email marketing by sending newsletters and setting up automated drip campaigns using platforms like Mailchimp or Jobber

Preferred Qualifications

Experience in home services or field services industry is a plus
