Requirements

  • Bachelorโ€™s degree in business administration, operations management, or a related field (or equivalent experience)
  • 5+ years in workforce planning, HRIS implementation, or scheduling system administration, with a focus on UKG Pro
  • 2+ years in reporting and analytics, utilizing SQL and BI platforms (e.g., Alteryx, Power BI, Tableau, DOMO)
  • 2+ years in project management, with a proven track record of delivering results on time and within budget
  • Expertise in scheduling tools, workflow automation, and process optimization
  • Strong analytical skills to interpret data, generate insights, and drive decisions
  • Proven experience in workflow automation and process optimization
  • Excellent communication and organizational skills, with a strategic and collaborative mindset

Responsibilities

  • Collaborate with clinic leadership and business leaders to align scheduling practices with operational demands and long-term goals
  • Forecast staffing needs using labor trends, client demand, and growth projections to optimize labor costs and resource utilization
  • Develop and implement workforce planning processes that balance business needs, employee preferences, and operational efficiency
  • Act as the subject matter expert for UKG Pro Advanced Scheduling and other integrated tools, maintaining expertise in TLM (Time and Labor Management) and scheduling-related modules
  • Partner with the Tech, Data, and Operational Excellence teams to develop and automate workflows, reducing manual intervention and improving accuracy
  • Maintain scheduling rules, preferences, and workflows within UKG Pro, ensuring compliance with labor regulations and company policies
  • Stay updated on UKG Pro product enhancements, working with operations to implement system changes and optimizations
  • Build, automate, and manage workforce planning analytics using tools like SQL and BI platforms
  • Develop dashboards and automated reports to track labor costs, overtime, time-off utilization, and scheduling adherence, providing actionable insights to leadership
  • Conduct regular audits to ensure data integrity, identify inefficiencies, and support informed decision-making
  • Design and implement scalable workflows and systems to support Bond Vetโ€™s expanding clinic network, ensuring scheduling processes adapt to organizational growth
  • Automate routine scheduling processes to reduce administrative burdens, improve accuracy, and enhance efficiency
  • Standardize scheduling best practices across clinics to promote consistency and operational excellence
  • Analyze labor costs regularly to identify opportunities for optimization and align staffing with financial goals
  • Ensure compliance with labor laws and internal policies by configuring systems and workflows to prevent errors and inefficiencies
  • Partner with central operations, HR Operations, payroll, clinic teams, and leadership to align staffing strategies with business objectives
  • Act as a liaison between departments to foster a unified approach to workforce planning and address staffing challenges proactively
  • Facilitate communication across regions to ensure alignment and consistency in workforce planning efforts
  • Lead workforce scheduling projects, including the implementation of new technologies and processes within UKG Ready
  • Manage project timelines, budgets, and resources to ensure successful delivery and adoption of initiatives
  • Communicate project progress, deliverables, and outcomes to stakeholders clearly and effectively
  • Develop comprehensive training materials and standard operating procedures (SOPs) for scheduling tools and processes
  • Provide onboarding and ongoing support for clinic managers and scheduling staff to ensure effective system usage and adherence to best practices
  • Foster a culture of scheduling enablement by addressing feedback, supporting users, and continuously improving processes
