Requirements

  • Successfully completed commercial/administrative training or comparable qualifications and relevant professional experience in administration
  • A structured and careful working style with a keen eye for detail
  • Organizational talent and the ability to prioritize tasks and work efficiently, even under pressure
  • Confident handling of digital tools and software such as CRM systems, project management tools (e.g., Asana, Trello), and G-Suite (Google Sheets, Gmail, Google Calendar, Google Slides)
  • Very good German skills (C2) and solid English skills for communication in an international environment

Responsibilities

  • Use your organizational and administrative skills to process correspondence (emails, mail, internal communications) and create, manage, and store documents, reports, and contracts in a structured manner
  • Maintain internal systems, update data, and keep planning documents, such as education and resource plans, up-to-date
  • Effectively utilize standardized processes and systems to monitor processes, generate reports, and reliably create new datasets
  • Process absence requests via internal tools and support resource management by coordinating personnel and course resources
  • Proactively track deadlines and tasks, and take on smaller projects and operational sub-tasks to increase team efficiency
  • Manage contracts, invoices, and other administrative documents and ensure that all processes remain transparent and traceable
  • Create offers, prepare invoices, and manage them in close cooperation with the relevant team
