Requirements
- 3+ years of experience as an Executive Assistant or Personal Assistant, preferably supporting a CEO or Founder
- Proven ability to manage both professional and personal matters for high-level executives
- Proficiency in Google Workspace, Microsoft Office (Word & PowerPoint), and communication platforms
- Experience using ChatGPT or similar AI tools for drafting and research
- Excellent written and verbal communication skills
- Highly organized with the ability to prioritize tasks and manage time independently
- Strong discretion, judgment, and problem-solving ability
Responsibilities
- Coordinate complex calendars, appointments, and meeting schedules
- Handle communications—screen, triage, and respond to emails, calls, and correspondence
- Prepare PowerPoint decks, reports, and professional documents
- Coordinate with universities for intern postings, screen applicants, and conduct initial interviews
- Support project management by tracking timelines and deliverables
- Transcribe AI-generated meeting notes and follow up on action items
- Conduct online research to support business decisions and strategic planning
- Schedule and manage personal appointments, events, and travel
- Book flights, accommodations, and transportation for personal and business trips
- Handle personal errands such as online purchases, gift sourcing, and special requests
- Support household operations by scheduling repairs, coordinating vendors, and organizing events
- Manage personal communications with discretion and efficiency
- Maintain strict confidentiality across all personal and business matters
- Operate with integrity and professionalism at all times
