Summary
Join our team as a highly capable Executive Assistant and bring order and precision to the executive's daily operations. You will be the founder's right hand, managing calendars, communications, task tracking, and operational execution. This role is perfect for someone who thrives in fast-paced environments, values systems and structure, and communicates clearly and tactfully. You will be responsible for managing the executive's calendar across multiple time zones, scheduling meetings, drafting and responding to emails, and tracking action items and key deliverables. The position also involves managing documents and files, preparing meeting materials, taking meeting notes, and providing operational and administrative support. This is a fully remote position offering competitive pay and long-term growth potential.
Requirements
- 3–5 years as an Executive Assistant or in a high-level ops role
- Experience supporting C-level executives or founders
- Excellent written and verbal communication skills
- Executive presence with polished, professional tone
- High proficiency in Google Workspace, ClickUp or Asana, Slack, and digital calendar tools
- Ability to handle sensitive information with discretion and urgency
Responsibilities
- Own and maintain the executive’s calendar across multiple time zones
- Schedule and confirm meetings, appointments, and internal check-ins
- Draft, triage, and respond to emails with a consistent executive tone
- Track action items and key deliverables across teams
- Ensure accountability and timely follow-through on internal projects
- Maintain ClickUp or Asana boards to keep all stakeholders aligned
- Create and manage shared drive structures for seamless team access
- Organize folders, files, and digital materials for easy retrieval and clean documentation
- Prepare agendas and materials ahead of meetings
- Take high-quality meeting notes and follow up on action items
- Liaise with vendors and service providers as needed
- Handle travel coordination and itinerary management when required
- Refine SOPs, streamline workflows, and identify inefficiencies
Preferred Qualifications
- Background in consulting, business operations, or systems building
- Familiarity with fast-paced, remote-first teams
- Strong formatting and document creation skills
