Summary

Join a dynamic property management company as a Remote Maintenance Coordinator! Manage maintenance requests, coordinate repairs with vendors, and ensure timely service for rental properties. This role demands strong problem-solving, communication, and attention to detail. You will handle work order management, vendor coordination, tenant and owner communication, budget and invoice management, and emergency repairs. Familiarity with property management software is a plus, and training will be provided. The position is a full-time, permanent, remote role with a schedule of Monday to Friday, 9:00 PM to 6:00 AM Philippine time.

Requirements

  • Strong English communication skills (verbal & written), with the ability to handle tenant concerns and complaints effectively
  • Proven problem-solving skills, especially in high-pressure situations involving tenant grievances
  • Ability to follow detailed processes and instructions, with strong organizational skills
  • Ability to work independently and multitask
  • Strong, stable internet connection and a quiet work environment suitable for handling calls
  • Collaborative yet self-sufficient, capable of working in a fast-paced, small-team environment

Responsibilities

  • Receive and prioritize maintenance requests
  • Assign work orders to vendors and track progress
  • Communicate status updates to tenants and property owners
  • Schedule and follow up with contractors on repairs
  • Obtain quotes and ensure cost-effective solutions
  • Maintain vendor records and compliance
  • Answer and manage incoming maintenance-related phone calls
  • Respond to maintenance inquiries and provide updates
  • Explain maintenance policies and coordinate access for repairs
  • Gather and analyze data, including tenant-reported maintenance issues
  • Collect relevant photos and details to diagnose maintenance problems and coordinate necessary repairs
  • Review vendor invoices and approve payments
  • Monitor maintenance expenses and identify cost-saving opportunities
  • Use property management software (AppFolio, Buildium, Yardi, etc.)
  • Maintain digital records of work orders and completed repairs
  • Coordinate urgent repairs by dispatching appropriate vendors
  • Ensure timely responses for critical maintenance issues

Preferred Qualifications

Familiarity with property management software is advantageous (training will be provided)
