Join Pacaso, a leading second-home co-ownership company, as a Maintenance Coordinator. This is a three-month contract position requiring 3-5 years of experience in residential property management, strong organizational skills, and excellent communication abilities. Requirements
- 3-5 years of experience coordinating and dispatching work orders in residential property management or similar
- Experience with basic property management accounting principles
- Highly organized with an eye for excellent record keeping; strong attention to detail and proven track record of prioritizing tasks in order to meet tight deadlines
- Flexible and able to thrive in environments with high levels of ambiguity and shifting priorities
- Strong communication skills, including the ability to convey critical information to stakeholders quickly and effectively, recommend solutions, and suggest opportunities for improvement
- Ability to build lasting relationships with industry partners
- Ability to work independently and manage multiple tasks, simultaneously
- Possess a leaderβs mindset and broad skillset; you see a problem, take charge of the situation, and are not afraid to bring people and resources together to get the job done
- Team player and have a can-do, will-do attitude; youβre willing to help whenever needed, including being available to provide support on weekends, evenings, and holidays
- Professional demeanor and strong ability to establish positive relationships with others; you will be working closely with Maintenance Managers and Home Managers to diagnose problems and address solutions in a collaborative manner
- Tech-savvy and / or motivated to adopt new and emerging technologies; you can manage work orders and update tasks on online platforms, and maintain a high level of responsiveness
Responsibilities
- Create a welcoming environment for our owners by ensuring homes are in excellent condition; support Maintenance Managers in successful execution of preventative maintenance, reactive repairs, and capital projects
- Work with Onboarding and Home Management to establish and manage recurring services for your portfolio, including landscaping, pest control, pool services, etc
- Establish standards of excellence for each recurring service's scope of work and ensure standards are met by vendors
- Support Regional Operations Manager of Maintenance (ROMM) in sourcing and managing third party vendors, reviewing estimates, and ensuring vendors execute projects on-budget, on-time, and on-brand
- Support triage and dispatch of work orders to facilitate timely resolution of maintenance issues; work closely with Maintenance Managers to provide central support as needed
- Track work order status, progress, and completion; support ROMM in managing SLAs and driving performance metrics
- Maintain professional, clear communication with all stakeholders, both internal and external; lead with solutions and drive forward momentum
- Support ROMM in managing and approving invoices; provide detailed reports to Accounts Payable for billback purposes and support profitability goals
- Support ROMM in developing SOPs and best practices to optimize workflows and improve service quality
- Organize and document project information in a timely, clear manner
- Work closely with Maintenance Managers and Home Managers to do what it takes to deliver an incredible owner experience
