Responsibilities

  • Provide top-notch administrative and logistical support
  • Coordinate field work activities
  • Support the internal team
  • Be the go-to person for client support
  • Prepare, review, and maintain necessary documentation for client support
  • Provide timely responses and solutions to client inquiries and documentation requests
  • Administer and update client-specific portals, including Washington Gas and Hammertech
  • Act as a liaison between the company and clients
  • Coordinate with external agencies and internal teams to secure necessary site access for personnel and equipment
  • Utilize and optimize job scheduling software to ensure efficient allocation of resources and adherence to project timelines
  • Process and track Miss Utility tickets, ensuring compliance with excavation and safety standards
  • Implement and manage a comprehensive document control system to maintain the integrity of project documentation
  • Ensure all project-related documents are current, labeled, properly filed, and accessible to authorized personnel
  • Manage and update fleet documentation, including vehicle registrations, insurance, and maintenance records
  • Keep detailed and organized records of all safety and operational training conducted, tracking employee certifications and training expiry dates
  • Oversee the procurement process for materials and supplies, negotiating with suppliers to secure favorable terms and ensure on-time delivery
  • Monitor inventory levels to prevent shortages and excesses, adjusting orders as project demands change
  • Create and maintain custom digital forms and checklists using GoCanvas or similar software

Preferred Qualifications

  • Bachelor's or Advanced degree in Engineering, Construction Management, or a related technical field (preferred)
  • Prior experience with document management and materials procurement (preferred)
  • Familiarity with fleet management and utility coordination (preferred)
  • Knowledge of safety training and compliance regulations within the construction industry (preferred)
