Requirements

  • Educational background or certification in Human Resources, Business Administration, Payroll, or related field
  • Minimum of 3 years of experience in benefits and payroll administration with a multi-state payroll environment, specifically CA, OH, and FL
  • Strong knowledge of federal, state, and local payroll and benefits regulations
  • Proficiency in payroll software and HRIS systems, ADP Workforce Now highly preferred
  • Strong proficiency in basic mathematics and experience with Google Sheets (or similar spreadsheet software) is essential
  • Familiarity with leave of absence administration
  • Exceptional verbal and written communication skills, capable of providing clear and constructive feedback to team members at all levels
  • Strong interpersonal skills for effective collaboration with diverse teams
  • Extremely organized and has a strong attention to detail and accuracy
  • Ability to handle sensitive and confidential information with discretion
  • Strong problem-solving skills to address and resolve quality issues efficiently. Ability to suggest and implement effective solutions to improve overall quality and processes
  • Proficient in Google Workspace (formerly G Suite) or similar software, including advanced email, meeting, and messaging functionalities

Responsibilities

  • Prepare and process bi-weekly payroll for all employees
  • Administer employee benefits programs, including health, dental, vision, retirement plans, and any other insurance-related items
  • Coordinate open enrollment periods, including communication, distribution of materials, and employee support
  • Process benefits enrollment, changes, and terminations in a timely manner
  • Work with benefits providers to resolve any issues and ensure smooth operations
  • Support onboarding with benefits orientation for new hires and assist with benefits-related questions
  • Maintain accurate and up-to-date benefits records
  • Verify timekeeping records and resolve discrepancies
  • Process payroll deductions for taxes, benefits, and other withholdings
  • Prepare and distribute W-2 forms and other required tax documentation
  • Address payroll inquiries from employees and provide timely resolutions
  • Maintain payroll records and ensure confidentiality of employee information
  • Stay updated with federal, state, and local regulations affecting payroll and benefits administration
  • Ensure compliance with applicable laws and regulations, including FLSA, FMLA, COBRA, and ACA
  • Prepare and submit required reports to government agencies and company management
  • Assist in audits and provide necessary documentation as required
  • Serve as a point of contact for employee questions related to payroll and benefits
