Summary

Join BH Properties as a Virtual Project Manager & Executive Assistant, working remotely from the Philippines during standard US Pacific Time business hours. You will report to the Founder and manage various aspects of the company's operations, including project coordination, vendor follow-ups, tenant logistics, and general administration. Responsibilities encompass project management for renovations, inspections, and city compliance, as well as creating property-specific execution plans. You will also provide executive and administrative support, managing inboxes, calendars, and documents. The ideal candidate is a self-starter, proactive, and comfortable managing multiple projects simultaneously. A generous consulting fee and benefits package are offered.

Requirements

  • Fluent English (written and spoken); must sound and write professionally
  • Proactive and accountable — someone who takes initiative and follows through
  • Excellent organizational and communication skills
  • Strong skills in Google Workspace (Docs, Sheets, Gmail, Calendar)
  • Comfortable managing multiple projects at once and reporting directly to the founder

Responsibilities

  • Track timelines and milestones for renovations, inspections, and city compliance
  • Coordinate with vendors, contractors, and utility companies to obtain bids and track progress
  • Maintain organized records of inspections, permits, violations, and budgets
  • Assist with tenant relocation documentation and compliance steps
  • Create weekly update reports and dashboards to show the status of each property
  • For every new property acquisition, you’ll help create and manage a custom game plan
  • Based on the principal’s direction, you’ll break down action items, assign tasks (internally or externally), and track their completion
  • Follow up consistently with vendors, contractors, and city reps
  • Ensure all bids are received, organized, and compared
  • Coordinate management presentations and progress updates
  • Report weekly to confirm each delegated item is being executed properly
  • Manage inboxes and calendars (schedule meetings, follow-ups, reminders)
  • Draft polished emails, simple letters, and agreements based on templates
  • Organize and maintain shared folders (Google Drive, Dropbox, etc.)
  • Assist with tracking expenses, rent rolls, leases, and key property data
  • Handle general admin tasks and keep to-do lists and priorities up to date

Preferred Qualifications

Familiarity with real estate, property management, or construction coordination is a plus
