Summary

Opal Group is hiring a full-time international consultant as an RFP Administrator to lead the creation, administration, and evaluation of RFPs, RFQs, and RFIs for various events. The role involves vendor and procurement management, contract negotiation and risk management, utilizing industry expertise, cross-functional team collaboration, event support, and conference management.

Requirements

  • Education: Bachelor's Degree required
  • Experience: 2 - 3 years of experience in the hospitality industry and/or as a meeting planner
  • Skills: Proficiency in MS Word, Excel, and PowerPoint. Strong analytical and critical thinking skills. Attention to detail
  • Interpersonal Skills: Excellent ability to multi-task and prepared to work on at least 5 events at varying stages. Strong interpersonal skills, with the ability to communicate professionally in English within and outside the organization
  • Other Requirements: Positive and professional demeanor while working with staff, vendors, and attendees. Adaptability to changes in project scope. Time and priority management skills to meet deadlines
  • Ability to travel to the United States with valid travel documents from the moment of hire

Responsibilities

  • RFP, RFQ, and RFI Management: Lead the creation, administration, and evaluation of RFPs, RFQs, and RFIs for various events, ensuring a comprehensive and streamlined process from start to finish
  • Vendor and Procurement Management: Create and submit detailed specifications for logistics to vendors, negotiate competitive pricing, and manage procurement processes to ensure the best value and quality of services
  • Contract Negotiation and Risk Management: Engage in negotiations with service providers and vendors to secure advantageous terms and implement risk management strategies to mitigate potential issues during event planning and execution
  • Hotel Industry Expertise: Utilize experience in competitive pricing analysis within the luxury hotel and hospitality industry to ensure optimal venue selections and accommodations
  • Cross-functional Team Collaboration: Work with and support cross-functional teams, including Production, Marketing, and Sales Departments, as well as support and operations staff, to ensure the successful operations of conferences
  • Event Support: Serve as the primary contact during event planning and execution, ensuring accurate conversion of event details into vendor documents and forms. Organize AV and negotiate best rates
  • Conference Management: Build and manage event registrations through databases and manage the conference mobile app (including sponsor ads, speaker biographies, and speaker presentations)
  • Client and Attendee Support: Address client inquiries, questions, and customer service-related issues in a professional manner
