Requirements

  • 1-3+ years of work experience
  • Excellent oral and written communication skills, with a professional and calm demeanor under pressure
  • Exceptional organizational and time-management skills with a keen attention to detail
  • Ability to work independently, collaboratively, and in a fast-paced, multi-tasking environment
  • Flexibility to work after hours as needed and maintain an exceptional attendance record
  • Demonstrated ability to maintain confidentiality of sensitive information
  • Proven experience in administrative roles, ideally in a legal or court reporting environment
  • Strong proficiency with database management systems and office software; intermediate to advanced computer skills are required

Responsibilities

  • Respond to client requests via email and phone, ensuring timely and professional communication
  • Maintain accurate scheduling records in proprietary software, ensuring complete and consistent data entry
  • Confirm and cancel assignments for the next business day with clients and assigned resources
  • Coordinate and schedule legal proceedings and meetings, assigning court reporters, videographers, interpreters, and other resources to match client needs
  • Resolve scheduling issues, escalating complex matters to management as needed
  • Build and maintain strong professional relationships with clients, subcontractors, and team
  • Book conference rooms and travel arrangements, including airfare, hotels, and car rentals, nationwide members
  • Work closely with court reporting team to ensure clients needs are not only met but exceeded

Preferred Qualifications

  • Experience in the legal industry (paralegal, legal secretary, or court reporting)
  • Bachelor’s degree in Business Administration, Public Relations, Law or a related field, a degree or certificate as a Paralegal/Legal Assistance, or equivalent work experience
