Summary

Join KIPP Foundation as a Senior Manager, Finance Services to support financial reporting, transactional processes, project management, facilities management, and administrative functions for the finance team. You will prepare financial reports, manage facilities, and ensure compliance with pass-through agreements. The role involves providing administrative and operational support to the finance team, ensuring smooth coordination of financial activities. The ideal candidate is highly detail-oriented, organized, and proactive in supporting financial planning efforts. You will also provide services and support finance leaders across the KIPP network, spanning 27 regions. This role reports to the Senior Director, Finance Strategy & Support.

  • Expertise in Excel, financial modeling software, ERP systems (e.g., SAP, Oracle), and BI tools
  • Bachelor’s degree in Accounting, Finance or Business
  • Minimum of 1-3 years of experience in financial analysis, reporting, or accounting
  • Strong proficiency in Microsoft Excel and financial reporting tools; experience with ERP systems is required
  • Excellent attention to detail and ability to analyze large datasets
  • Strong organizational and communication skills, with the ability to manage multiple priorities
  • Ability to collaborate effectively across teams and provide high-quality customer service

Responsibilities

  • Manage infrastructure of all Foundation offices including office location, layout, design, management, implementation of office improvement projects, procurement/inventory management of office supplies, and routine negotiation of office location leases and subleases
  • Manage all incoming phone calls and voicemail messages for the Foundation’s main office numbers (San Francisco, Chicago, and New York) via the Webex Masergy soft phone application; screen and respond to voicemails, redirect inquiries appropriately, and ensure efficient communication flow to internal teams and regional offices
  • Maintain and manage the Foundation's Verizon Wireless phone lines for a small number of KIPP-owned phones assigned to key employees
  • Co-manage our New York City office manager in partnership with KIPP NYC
  • Manage the San Francisco mail service
  • Manage document retention and work to digitize existing physical files
  • Manage relationships with landlords and building management in New York, and Chicago
  • Oversee Facilities and Administrative budget planning and cost control
  • Management and renewal of KIPP corporate insurance policies including General Liability and other lines of coverage
  • Coordinate onboarding logistics for new hires, including walkthroughs of office procedures, distribution of office supplies and credit cards, and communication of policies such as mobile phone use; serve as a key liaison between Talent, IT, and Facilities to ensure a streamlined onboarding experience
  • Prepare and distribute monthly, quarterly, and annual financial reports, ensuring accuracy and timeliness
  • Support financial close processes by reconciling financial data, validating transactions, and identifying discrepancies
  • Ensure accuracy and consistency of data through account reconciliations related to personnel, revenue recognition and other month-end analysis
  • Prepare and deliver monthly budget to actuals reports for departmental reviews and check-ins
  • Maintain and improve financial dashboards, reports, and templates to support data-driven decision-making
  • Collaborate with team members to maximize automation and enhance reporting processes
  • Support other ad-hoc financial analysis and reporting requests to assist in financial planning, forecasting and transparency
  • Process all budget transfer requests by the set deadline
  • Support the management and tracking of pass-through agreements, ensuring accurate documentation, financial reporting, and compliance with funding requirements
  • Assist in processing pass-through transactions, ensuring funds are distributed in alignment with grant agreements and financial policies
  • Work closely with finance leadership to monitor and reconcile pass-through payments, ensuring timely execution and proper documentation
  • Maintain organized records of pass-through agreements and ensure they align with internal controls and audit requirements
  • Support the project management of short and long-term finance initiatives to improve operational efficiency and enhance workflows across functional areas
  • Support the project management of annual audits
  • Coordinate travel arrangements for the finance team, ensuring cost-effective and efficient bookings
  • Reconcile corporate cards for the finance team, ensuring accurate expense reporting and compliance
  • Process finance staff reimbursements, ensuring compliance with internal policies and timely disbursement of approved expenses
  • Manage scheduling and calendaring for finance leadership, including organizing meetings and handling logistics
  • Maintain organized financial records and assist in document management for audits and compliance

Preferred Qualifications

Experience supporting financial reporting, analysis, and transactional finance preferred
