Summary

The Sr. Administrative Coordinator, Project Planning is a remote or Irvine-based role in a solar EPC company that involves providing high-level administrative support to senior executives and managers. Requirements

  • Bachelor's degree in business administration, Engineering, or related field. Experience and skillset can be qualified if without
  • Proven experience of minimum 5 years in an administrative support role, preferably in the renewable energy or construction industry
  • Strong attention to detail, with the ability to maintain accuracy while handling multiple tasks simultaneously
  • Exceptional written and verbal communication skills, with the ability to compose professional correspondence and communicate effectively with various stakeholders
  • Proficiency in using MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software and tools
  • Strong problem-solving skills, with the ability to anticipate and address potential challenges proactively
  • Ability to work independently with minimal supervision and thrive in a fast-paced environment
  • Advanced knowledge in Microsoft office Suite, Smartsheet, and Procore

Responsibilities

  • Manage scheduling aspects of appointments and calendars for team leads
  • Prepare and distribute correspondence
  • Act as a point of contact
  • Organize travel arrangements
  • Coordinate meetings and conferences
  • Handle confidential and sensitive information with utmost discretion
  • Assist with general administrative tasks such as filing, organizing and maintaining records, managing office supplies, and coordinating office equipment maintenance and repairs as needed
  • Assist with the planning, coordination, and implementation of special projects and initiatives as assigned by the construction management team
  • Liaise with internal and external stakeholders
  • Support the construction management team in decision-making
  • Export all action items from meeting minutes to a task tracker and ensure the appropriate party who is responsible is assigned
  • Follow up and ensure all tasks are completed within their deadlines
  • Schedule travel for team members
  • Manage and organize project documents, including contracts, permits, drawings, specifications, and other project-related documentation
  • Ensure that all documentation is being upkept in its appropriate locations
  • Facilitate communication and coordination between internal teams, external stakeholders, and project staff to ensure alignment on project requirements, timelines, and deliverables
  • Schedule, prepare agendas, and document minutes for meetings, including kick-off meetings, design review meetings, and coordination meetings
  • Distribute meeting minutes to attendees after the meeting
  • Entering data ranging for project budget related items into appropriate project management programs or excel to ensure all data is accurately reported
  • Gather departmental data on spent budgets and create reporting slides and deliverables for managements review

Benefits

$39 - $48 an hour. The salary range may differ depending on the location of those candidates hired nationwide
