Requirements

  • Previous administrative or customer service experience, ideally within the travel or luxury sectors
  • Strong English communication skills, both written and verbal
  • Ability to work with minimal direction and think critically
  • Exceptional organizational and time management abilities
  • Ability to ensure content consistency and accuracy, particularly for luxury clientele
  • Understanding of ultra-high-net-worth clients’ expectations and the importance of discretion and poise

Responsibilities

  • Manage and respond to emails promptly, particularly during U.S. business hours (10 AM – 1 PM EST initially)
  • Cross-check and organize travel proposals and itineraries, ensuring accuracy and consistency
  • Add images and content to travel proposals, ensuring a professional and visually appealing presentation
  • Use CRM and itinerary-building tools (e.g., Turn) to create and update client travel documents
  • Edit and proofread content to ensure it flows naturally and meets high standards of professionalism
  • Source and format information from travel partners, ensuring clarity and coherence
  • Conduct research on hotels, activities, and destinations as needed
  • Compile pricing and other relevant details for client proposals
  • Draft email responses and send options to clients, ensuring tone and content align with the brand’s luxury standards
  • Serve as a liaison with travel partners to confirm details and resolve inquiries

Preferred Qualifications

  • Basic knowledge of travel industry terms and practices (e.g., net vs. gross pricing, commissions)
  • Experience working with luxury or high-end clientele
  • Tern/Travefy or similar
