Summary
Join Pavago's client, a growing commercial real estate investment company, as their Virtual Assistant! This full-time, remote position (Eastern Time hours) offers a fast-paced, entrepreneurial environment. You will support operations, marketing, investor relations, and deal sourcing. Real estate experience, CRM systems knowledge, and digital marketing skills are highly advantageous. The role involves various responsibilities, from deal sourcing and analysis to CRM management and marketing support. You will also contribute to special projects and provide general administrative assistance.
Requirements
- Strong written and verbal communication skills in English
- Proficiency with Google Workspace (Docs, Sheets, Drive)
- Experience using CRM systems (HubSpot, Salesforce, or real estate-specific CRMs)
- High attention to detail and strong organizational abilities
- Self-motivated with the ability to work independently
- Availability to work full-time during Eastern Time (US) business hours
Responsibilities
- Search for on-market commercial real estate deals and input them into the CRM with key information: Deal type, tenant type, lease type, lease term remaining, price, cap rate, CapEx, location, building size, contact information, and property link
- Notify the owner when promising opportunities arise
- Conduct initial property and market research, including demographics, crime stats, rent comps, and population trends
- Use tools such as CAPS ACS for data gathering
- Research tenant companies and markets, summarizing findings
- Prepare Letters of Intent (LOIs)
- Call local property managers for multifamily deals to gather rent insights, area feedback, and management quotes
- Maintain and update investor CRM systems
- Organize deal files and due diligence documentation in Google Drive
- Track the status of active and completed deals, updating records regularly
- Draft and schedule social media content (Facebook, LinkedIn, Google My Business)
- Assist with monthly newsletters and email drip campaigns
- Prepare pitch decks and webinar presentations
- Manage and update bios, company websites, and LinkedIn profiles
- Post updates in relevant Facebook groups
- Draft and manage email campaigns to brokers
- Coordinate direct mail campaigns
- Research and summarise AI tools that can enhance operational efficiency
- Provide general administrative and marketing support as needed
Preferred Qualifications
- Familiarity with commercial real estate is a major plus
- Youβre proactive, analytical, and able to juggle multiple responsibilities with minimal oversight
- You bring a mix of operational excellence, marketing know-how, and tech fluency
- Youβre excited to work in a growing company and play a key role in helping it scale
- You have prior experience supporting real estate professionals or investment firms
- You have working knowledge of tools such as Canva or PowerPoint, Mailchimp or ActiveCampaign, Zoom, Slack, and AI writing assistants like GPT
