Requirements

  • Exceptional fluency in both written and spoken English and Spanish, at a professional level (C1/C2 proficiency)
  • Must be available Monday through Friday from 9 am to 5 pm Eastern US Time
  • At least one year of administrative experience, ideally in a remote or virtual setting
  • Bachelor’s degree from an accredited institution, demonstrating a solid academic foundation
  • A quiet and distraction-free environment with a dedicated workspace
  • Stable internet connection with a minimum download speed of 10 Mbps and upload speed of 2 Mbps
  • Laptop or desktop computer with at least 8GB RAM and a 1.6GHz processor for optimal performance
  • A high-quality headset for clear audio communication
  • A smartphone for mobile communication and as a contingency tool
  • Access to an alternative workspace in case of power or internet outage
  • Secondary internet connection option, such as a mobile hotspot or MiFi device, to ensure uninterrupted workflow

Responsibilities

  • Proactively manage complex calendars
  • Schedule meetings across multiple time zones
  • Optimize schedules to ensure a seamless workflow
  • Schedule appointments for inbound leads
  • Conduct follow-up communication to prequalify prospects
  • Support the sales pipeline
  • Contact clients with overdue accounts
  • Foster timely payments while maintaining professionalism and rapport
  • Perform thorough online research
  • Deliver comprehensive, well-structured reports on diverse topics
  • Provide outstanding customer service via email, phone, and chat by addressing inquiries promptly, professionally, and with a solutions-oriented approach
  • Maintain accurate and up-to-date records through meticulous data entry and organizational practices
  • Draft, edit, and format documents, spreadsheets, and presentations, ensuring professionalism, clarity, and consistency
  • Plan and coordinate travel arrangements and itineraries, optimizing schedules and logistics for seamless travel experiences
  • Monitor and manage email correspondence
  • Prioritize messages
  • Ensure timely responses to inquiries
  • Execute a variety of administrative tasks with adaptability, ensuring efficiency and flexibility in meeting evolving needs
