Summary

Responsibilities

  • Oversee and manage all accounting systems ensuring the accuracy and data integrity of the numbers. This involves performing journal entries, timely reconciliations of subsidiary ledgers and GL accounts, maintaining appropriate controls and structure, and reviewing the work of administrative personnel and providing accounting guidance
  • Responsible for all general ledger reporting including the month-end close, chart of account set-up and maintenance, journal entries, balance sheet and subsidiary reconciliations, budget input and report set-up
  • Prepare accurate, timely financial statements in accordance with GAAP and analyze the statements for discrepancies and other issues that should be brought to the VP, Finance’s attention
  • Prepare detailed forecasts and budgets based on direction from the VP, Finance, and analyze actual results relative to such forecasts/ budgets reporting reasons for discrepancies to the VP, Finance
  • Monitor and oversee all accounts payable functions including the payments to vendors, expense reimbursement and reporting, company credit card activity. Ensure all company expenses have the appropriate detail support which includes meeting IRS requirements, internal approvals and GL coding. Ensure the flow of data between all sub systems is reconciled timely with any exceptions resolved timely. Responsible for the accuracy and completeness of 1099 reporting
  • Monitor and oversee the process around GAAP revenue recognition, client invoicing and accounts receivable cash collection, including following up on past due accounts and working with the VP, Finance to establish reserves and bad debt as needed
  • Monitor and oversee the payroll and benefit process ensuring employees are paid accurately, company expenses are recorded in the GL correctly, W-2 compensation is accurate. Review the work of the payroll processor and become the back-up for such function in the case of emergencies or scheduled PTO
  • Prepare all state compliance filings for taxes and unclaimed property with guidance from the VP, Finance. This includes maintaining and updating third party tax software and reviewing inputs and outputs of such system. Prepare and research other state or Federal documents/ informational returns to be reviewed and signed off by the VP, Finance
  • Perform preparation work for corporate tax returns and work with outside CPA firm in their preparation of the corporate returns. Ensure books and records are set-up and maintained in an efficient manner to capture required financial information needed for the tax returns
  • Organize permanent records in logical folders/ subfolders on Google Drive, ensuring all required documentation is saved timely with appropriate naming convention
  • Assist in the development and implementation of policies and procedures relating to financial management, budget and accounting
  • Manage the daily activities of the accounting department
  • Collect and provide information for audit inquiries and give assistance to auditors
  • Mentor and provide positive leadership support to administrative personnel that may or may not have accounting backgrounds
  • Other duties as assigned

Preferred Qualifications

  • Quickbooks, Bill.com, Google Sheets experience preferred
  • CPA strongly preferred
