Join Collective as our Corporate Filing Specialist and become the subject matter expert for members' complex corporate filings, reporting to the Sr. Manager of Entity Services. You will be the main point of contact for these filings and partner with various departments. Your expertise in business entity formation across all 50 states is crucial, along with your ability to educate colleagues and members. You will manage corporate filings, offboarding, and vendor management. This role requires strong collaboration skills and the ability to navigate complex state regulations. You will also be responsible for maintaining relationships with third-party providers and generating reports in various systems.
Requirements

- Experience as a business formation expert working with Sales, Customer Support, Legal, Product & Engineers
- At least 5 years of industry experience
- Ability to work with cross-functional teams
- Customer service oriented, attention to detail, and the ability to manage multiple tasks

Responsibilities
- Filing business formation documents with state and federal agencies and ensuring compliance for existing entities
- Coordinate and file foreign registrations, domestications, conversions, DBAs and dissolutions, and other complex corporate filings
- Act as the SME on corporate filing operations and data, understanding and communicating state regulatory nuances
- Work alongside and help guide a team of Business Solutions Advisors whose primary responsibilities include: Setting up the foundation of our membersβ new business and ensuring their business is set up correctly, filing documents with both the state and the IRS, and ensuring members joining with existing entities are compliant
- Navigating various state department websites, analyzing federal and state documentation, and calling those departments when needed to resolve issues
- Smoothly transitioning members when they depart Collective
- Act as an escalation point for complex business formation and verification issues
- Partner with Sales, Member Relations, Legal, Product, Engineering, Tax and Accounting teams and assist with cross-departmental initiatives
- Own and maintain relationships with 3rd Party Providers such as Registered Agents and Business License Providers
- Oversee the payment processing system for various requests, ensuring efficiency and accuracy
- Regularly update documentation to reflect process improvements or changes in filing procedures
- Generate, analyze, and monitor reports in Salesforce and other internal systems
- Proficiently use Zendesk, Salesforce, Slack, Stripe, Google Suite, Collective Internal Platform, Confluence, Zoom, Adobe, Microsoft Office, and other software applications
Preferred Qualifications
Experience working for a registered agent company is a plus
