Requirements

  • Experience in conference or meetings management
  • Understanding of the FDA PRC Review process for promotional activities
  • Demonstrated experience working cross functionally
  • Attention to detail and well organized
  • Ability to think creatively in confronting new issues and provide novel solutions
  • Work under pressure, meet deadlines and exercise sound business judgment with critical thinking skills and high ethical standards while being a team player
  • Excellent written and verbal communication skills; ability to write effective customer and field sales communications
  • Ability to multitask, adjusting priorities as needed
  • Proficiency in standard MS Office software products, including Outlook, PowerPoint, and Excel

Responsibilities

  • Lead the planning and execution of remote and regional events and exhibits, working cross-functionally with sales, legal, compliance, marketing, and field operations teams
  • Oversee all aspects of event planning, from sourcing vendors to final execution, ensuring alignment with business and brand goals
  • Leverage knowledge of meeting sourcing and contracting to enhance company positioning and relationships with vendors
  • Act as the point of contact for agencies and vendors involved in booth design, logistics, and execution
  • Chair cross-functional teams and provide strategic guidance to ensure alignment between congress/event objectives, brand messaging, and corporate goals
  • Develop, monitor, and communicate timelines, and ensure consensus on content and strategy across teams
  • Manage exhibit design and staff, ensuring compliance and smooth operation during the event
  • Oversee on-site logistics such as registration, housing, travel, financial reconciliation, and event coordination
  • Review, select, and evaluate congresses and meetings to attend, in partnership with brand leaders
  • Conduct post-event evaluations to measure success, ensuring return on investment (ROI) and alignment with business objectives
  • Conduct site inspections and select optimal venues for meetings and congresses, aligning them with business and event objectives
  • Ensure transparent communication regarding event objectives and outcomes to stakeholders, maintaining clarity on roles, responsibilities, and goals
  • Oversee the review process for content and materials, ensuring compliance with legal, regulatory, and medical guidelines
  • Ensure that events are delivered within the allocated budget, managing costs effectively while achieving the desired outcomes
  • Build and maintain relationships with healthcare professionals and congress associations, participating in industry events and contributing to the company's strategic positioning
  • Design, develop, and maintain SOPs for meetings and congresses, continually assessing and improving processes to align with company growth and industry standards
  • Maintain a focus on quality, consistency, and flawless execution while ensuring financial competitiveness in all event planning and execution

Preferred Qualifications

  • Bachelor's degree
  • Experience in marketing to the ophthalmic audience
  • Experience with ophthalmic pharmaceuticals
  • Proficient with Salesforce, Pardot, Air table, and Tableau
  • Experience with Adobe Suite, including Photoshop, InDesign, and Illustrator
