Requirements
- 3β5+ years of executive administrative experience (real estate or finance background preferred)
- Advanced proficiency in Monday.com, Canva, Google Workspace, and CRM tools
- Demonstrated experience in LLC creation, legal compliance, and business entity management
- Excellent communication skills for working with professional stakeholders (banks, legal, insurance)
- Strong project coordination and organizational skills
- High level of discretion and confidentiality in handling sensitive documents
- Immediate responsiveness is required for time-sensitive requests, particularly related to document and file access
Responsibilities
- Maintain and organize online folders and file structures across Google Drive
- Ensure real-time availability of documents during business hours
- Handle and archive closing documents and sensitive files with confidentiality
- Form new LLCs and manage compliance for multiple entities
- Coordinate with legal counsel for filings, renewals, and registered agent tasks
- Maintain accurate and up-to-date corporate records
- Use Monday.com to manage and streamline operational workflows
- Design and update branded materials via Canva
- Oversee CRM platform usage and optimize the database for lead and task tracking
- Serve as the main point of contact for banks, attorneys, insurance providers, and third-party vendors
- Coordinate and schedule inspections (up to $2,000) and facilitate external service provider tasks
- Lead and coordinate complex, multi-phase projects
- Track progress, assign deliverables, and ensure timely execution
- Support collaboration between internal and external stakeholders
- Oversee cost-segregation study coordination
- Prepare documentation for review and signature (e.g., DocuSign, legal documents)
- Assist in coordinating legal filings and financial documentation
