Summary
Join Swimline, a world leader in pool products, as an Executive Assistant providing support to two senior leaders. Requirements
- At least 2 years of relevant experience in an EA, operations, or data-driven admin role
- Advanced Excel skills are essential—you should be confident in data analysis, pivot tables, and formula-based reporting
- Strong proficiency in digital tools including Google Search, Amazon, Shopify, Outlook, Teams, and Microsoft Word
- A proactive, process-oriented mindset with a high degree of ownership and organizational rigor
- Ability to manage multiple projects with excellent attention to detail and follow-through
- Strong communication skills—written and verbal—with the ability to interact professionally with internal teams and external partners
Responsibilities
- Serve as a right-hand support to two executives across day-to-day priorities involving data, operations, and process improvement
- Track and manage data from various sources, including Amazon, Shopify, and internal systems, to generate insights and business reports
- Create and maintain Excel-based reports and dashboards with accuracy—must be comfortable manipulating columns, formulas, and large data sets
- Enter data into pre-designed templates to support sales, marketing, and inventory dashboards
- Conduct online research for product and pricing analysis—including MAP monitoring, competitor tracking, and industry trends
- Draft and document Standard Operating Procedures (SOPs) in Word to standardize workflows across teams
- Support automation of recurring tasks—experience with AI automation tools (e.g., Zapier, ChatGPT, Notion AI, etc.) is a strong plus
- Assist with executive calendar management, scheduling, and coordination of meetings
- Occasionally support marketing teams with content uploads (images, basic SEO) on websites or social media
- Participate in candidate research and assist with interviews as needed for recruitment efforts
Preferred Qualifications
Experience with AI tools or automation software is a big advantage
