Requirements
- Have work experience as an Executive Assistant, Personal Assistant or similar role
- Possess excellent Google Suite knowledge
- Have outstanding organizational and time management skills
- Be familiar with office gadgets and applications (e.g. e-calendars and copy machines)
- Have excellent verbal and written communication skills
- Maintain discretion and confidentiality
- Have a High School degree
- Have advanced English skills
Responsibilities
- Screen and prioritize emails, respond on behalf of the executive, and organize email folders
- Schedule and manage appointments, meetings, and events, often across multiple time zones
- Create, edit, and format documents, presentations, and reports
- Conduct research and compile information for reports, presentations, and decision-making
- Identify opportunities to improve efficiency and streamline administrative processes
- Handle incoming and outgoing communications, including calls, emails, and other messages
- Organize and set up virtual meetings, including preparing agendas, distributing meeting materials, and taking minutes
- Act as a point of contact between the executive and internal/external stakeholders
- Manage personal appointments and tasks for the executive
- Assist in the management and tracking of projects, ensuring deadlines are met
- Coordinate tasks and assignments for the executive
- Prepare and deliver progress reports on various projects and initiatives
- Coordinate travel plans, including booking flights, accommodation, and transportation
- Prepare and organize necessary travel documents and itineraries
- Track and manage expenses, prepare expense reports, and ensure timely reimbursement
- Assist with budget preparation and monitoring
- Manage personal appointments and tasks for the executive
- Handle sensitive information with discretion and maintain confidentiality
- Perform other duties as required by the executive
Preferred Qualifications
