Requirements

  • 7+ years of Executive Assistant experience
  • Career Executive Assistant
  • Must have extensive experience with calendar management and call coordination
  • Experience in arranging business travel and preparing travel itineraries
  • Must be comfortable with database entry and management
  • Demonstrates an eager, can-do attitude willing and wanting to learn and take on projects as needed in a dynamic environment
  • Ability to manage time and priorities in a deadline-driven, fast paced and ever-changing environment
  • Excellent problem-solving capabilities with timely resolution demonstrating an awareness of knowing when to elevate concerns or issues
  • Must take pride in work, with keen sense of quality control and attention to detail
  • Must be tech savvy
  • Ability to independently and proactively assist when needed
  • Good written and research skills
  • Ability to maintain confidentiality
  • Experience processing expense reports for multiple teams
  • Proficient in Google Suite (Docs, Sheets, Slides) or Microsoft Office (PowerPoint, Excel, Word)

Responsibilities

  • Provide high-level administrative and personal assistant support to the company CEO
  • Manage complex and ever-changing calendars including event organization, complex travel itineraries, conferences, board meetings, conference calls, external/internal meetings and appointments
  • Coordinate all aspects of domestic and international business travel (air, ground, and lodging), including preparing electronic travel itineraries, registering professionals for conferences and networking events in a timely manner
  • Make calls and schedule meetings while coordinating with client EAs
  • Submit expenses to finance team
  • Heavy collaboration with Executive Assistants arranging travel, meetings and office management
  • Perform routine administrative and logistical duties such as email correspondence, electronic filing, presentations, etc. in a timely manner
  • Complete business and personal related errands
  • Active role in special projects and additional assignments
  • Handle high-level inquiries quickly, proactively, and follow through on tasks to successful completion, often with deadline pressure

Preferred Qualifications

  • Historical office management skills
  • Experienced with modern productivity tools
  • History of management of 1-2 administrative team members
  • Project management capabilities
