Requirements

  • Bachelorโ€™s degree in Business Administration, Management, Operations, or related field
  • 5+ years of experience in an Executive Assistant, Project Coordinator, or similar role within the BPO industry
  • Knowledge of BPO operations, metrics (SLAs, CSAT, NPS), and workforce management
  • Proficiency in tools like MS Office Suite (Excel, PowerPoint), project management tools (Jira, Trello, Monday.com), and virtual meeting platforms
  • Excellent organizational, communication, and multitasking skills
  • Ability to handle confidential information with discretion and professionalism
  • Must have FY24 PDP score of Exceeds Most or Clearly Exceeds
  • Tenure of at least 18 months
  • No Active DA

Responsibilities

  • Manage the executiveโ€™s calendar, organize meetings, and prioritize commitments
  • Prepare and manage reports, presentations, and documentation for internal and client-facing reviews
  • Handle executive correspondence, ensuring timely communication with internal teams and global stakeholders
  • Coordinate complex travel arrangements (local and international) as needed
  • Prepare and submit expense reports in compliance with company policies
  • Organize leadership meetings, prepare agendas, and document action items
  • Plan and support internal events such as team town halls or operational reviews
  • Assist in planning, monitoring, and tracking strategic projects across operations, HR, and client accounts
  • Provide updates, risk assessments, and mitigation strategies to leadership
  • Support the implementation of continuous improvement initiatives aligned with client SLAs and KPIs
  • Maintain accurate and up-to-date project documentation, including charters, risk logs, and project roadmaps
  • Prepare weekly or monthly dashboards for executive and client reporting
  • Coordinate with internal teams, clients, and cross-functional departments to ensure alignment on project goals
  • Organize and facilitate regular updates with project stakeholders
  • Support initiatives to enhance efficiency across operations, client servicing, and back-office processes

Preferred Qualifications

PMP certification or Lean Six Sigma training is an advantage
