Summary

Join Assured, a company modernizing the insurance industry, as an Executive Assistant & Recruiting Coordinator supporting the VP of Engineering and the broader Engineering team. This hybrid role combines executive support, recruiting coordination, and team event logistics. You will manage the VP's complex calendar, anticipate conflicts, prepare for meetings, schedule engineering interviews, collaborate with recruiting and hiring managers, maintain interviewer calendars, plan team events, coordinate team gifts, and support the Chief of Staff in team organization. The ideal candidate has 3+ years of experience in a similar role, preferably in tech or startups, and is highly organized, detail-oriented, and a clear communicator. Requirements

  • 3+ years of experience as an EA, recruiting coordinator, or ops role — ideally in tech or fast-paced startups
  • An obsession with calendars and scheduling — you’re always five steps ahead
  • Impeccable attention to detail — nothing slips through the cracks
  • Clear communicator — friendly, polished, and professional in writing and in person
  • Tech fluent — you pick up tools fast (we use Google Calendar, Slack, Notion, and Zoom)
  • You’re dependable, organized, and thrive in a role where others rely on you

Responsibilities

  • Own and manage a fast-moving, complex calendar for the VP of Engineering — think meetings, 1:1s, strategy sessions, and more
  • Anticipate conflicts, handle reschedules like a pro, and keep priorities clear
  • Help prep for key meetings — agendas, notes, and light follow-up
  • Schedule interviews for engineering candidates — everything from initial calls to full loops
  • Work closely with recruiting, hiring managers, and interviewers to create a great experience for every candidate
  • Be the keeper of interviewer calendars and availability — no dropped balls or double-bookings here
  • Help plan and execute team offsites, internal events, and celebrations
  • Coordinate swag, team gifts, and other little touches that build culture
  • Support the Chief of Staff in keeping the Engineering team organized — think org calendars, planning docs, and comms

Preferred Qualifications

  • Have worked with engineering or technical teams before
  • Know your way around ATS tools, we use Ashby
  • Enjoy planning events or internal team moments
