Summary

Join Cadence3, an award-winning marketing agency, as their Executive Business Assistant to the CEO. You will manage the CEO's calendar, inbox, and travel, draft emails, prepare meeting materials, maintain CRM records, update internal tools, coordinate events, and assist with expense reports and social media. This full-time, fully remote role requires 3+ years of experience supporting senior leaders, exceptional organizational skills, and strong technical skills in Microsoft Office applications. Flexible hours are offered with a core overlap of 2pm-10pm CET. The ideal candidate is highly organized, emotionally intelligent, tech-savvy, and proactive. Compensation includes a monthly salary of $2,000–$2,250, 20 days of paid time off, 5 days of paid sick leave, flexible working hours, a healthcare and internet stipend, and business development commission opportunities.

Requirements

  • 3+ Years experience supporting senior leaders or C-level executives
  • Exceptional organizational skills
  • Solid technical skills, especially in Microsoft Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and OneDrive
  • Strong written and verbal English
  • Experience with CRMs like HubSpot, Zoho, or Salesforce
  • Proactive approach and anticipation of needs
  • Detail-oriented with attention to formatting, grammar, and design
  • High emotional intelligence
  • Strong follow-through and ownership
  • Discretion and professionalism in handling confidential information

Responsibilities

  • Manage the CEO’s calendar, inbox, and travel
  • Draft and send emails on behalf of the CEO, prepare meeting agendas and briefs, and stay proactive in anticipating daily needs
  • Keep CRM records clean, send follow-ups, and support client and prospect proposals
  • Update internal tools such as Trello, SOPs, and shared documents
  • Coordinate gifts, thank-you notes, and internal events
  • Assist with expense reports, light reporting, and scheduling social media posts
  • Track project timelines, organize recruiting tasks, and support internal updates
  • Assist in recruitment efforts by filtering all internal applications before sharing with the CEO and Ops Manager

Preferred Qualifications

  • Experience in marketing, creative agencies, or event production
  • Familiarity with project management tools like Trello, ClickUp, or Asana
  • Light design skills using Canva, Adobe Express, or PowerPoint
  • Knowledge of CRM setup, dashboard building, or workflow automation
  • Experience with social media scheduling (especially LinkedIn)
  • Light finance or bookkeeping support
  • Skilled document editing
  • Event coordination experience
  • Experience building scalable systems or automations
  • Natural proactivity
