Requirements

  • Skilled at managing multiple calendars and priorities efficiently
  • Ensures accurate scheduling with all relevant factors (timing, location) considered
  • Proficient in communicating clearly with clients, teams, and executives to coordinate schedules and provide timely updates
  • Identifies scheduling conflicts and resolves them efficiently, ensuring minimal disruptions
  • Proficient in G Suite and scheduling tools
  • Consistently reliable in managing deadlines, maintaining punctuality, and ensuring tasks are completed quickly
  • Comfortable handling scheduling requests from multiple executives simultaneously without compromising quality or attention to detail
  • Dedicated to providing excellent service by ensuring all parties’ needs are met and schedules align seamlessly
  • Handles sensitive information with discretion and maintains confidentiality in all administrative matters
  • Works effectively within a team environment, supporting colleagues and assisting with scheduling-related tasks as needed

Responsibilities

  • Manage and maintain executives’ calendars to optimize time and productivity
  • Coordinate daily, weekly, and monthly schedules, adjusting for conflicts across multiple schedules
  • Prioritize events and meetings based on urgency and strategic relevance
  • Identify and resolve scheduling conflicts in advance
  • Schedule internal and external meetings, conference calls, and video conferences
  • Ensure logistics are arranged, including invites, locations (physical or virtual), and materials
  • Manage last-minute scheduling changes and confirm attendance

Preferred Qualifications

  • 1+ years of experience supporting senior leaders/executives
  • Experience in a corporate or high-growth environment
